Maintenance and service companies

Service contracts that get renewed, serviced and billed.

Each contract carries its renewal date, its visits and its invoice rhythm. Contracts that end soon sit on one list, visits are created ahead of time and the period invoice is drafted for you.

In short

Ekeko for maintenance and service companies is built around the service contract. Each contract carries its renewal date, its visits and its invoice rhythm. Contracts that end soon sit on one list, visits appear as work orders before they are due, and the invoice for each period is drafted for you.

What's all in there?

A contract's whole life sits in one place, from the signature to the yearly price review.

Seen in good time

Contracts that end soon sit on one list, weeks ahead.

A contract has an end date, a renewal rule and a notice period. It renews by itself, waits for you to renew it, or ends. The list shows what ends within 60 days by default, and admins are told when a new one arrives.

Without it: a contract quietly ends and nobody notices until the invoices stop.

On the board in time

A contract's next visits are on your board before they are due.

Link a maintenance plan to the contract and its visits appear as work orders ahead of time, checklist included. A plan can pencil in a technician for you to confirm, and the contract links to every plan and visit it has produced.

Without it: visits are copied from a list into the agenda by hand, until one gets skipped.

Day by day

Reorder a technician's day and see how much driving it saves.

Choose where the day starts (depot, home or first job) and apply the proposed order. Pinned jobs stay where they are. On a day above your heat limit or with rain likely, the board offers to move the day earlier, with a preview.

Without it: the drive order is worked out by eye, and a hot day means rebuilding the plan by hand.

Found on site

What a technician finds on a round ends up on a quote.

A technician marks a checklist line as action needed or reports a defect from the phone. It lands on the action list, and you turn the selected items into one quote or one follow-up work order. You fill in the prices yourself.

Without it: a worn part noted on Tuesday is forgotten by Friday and never reaches a quote.

Billed per period

When a contract's period is due, its invoice waits as a draft.

Pick monthly, quarterly or yearly billing. A daily run drafts one invoice per customer with a line per contract period, or books and sends it if you allow that. Once a year you enter the new index value, review the new fees and apply them.

Without it: contract invoices are copied from last year's, and the price review never finds a quiet week.
