In short

Ekeko for Belgian self-employed people and SMEs puts quotes, invoices, planning and customers in one system. Beside a customer's mail you see their quotes, invoices and open jobs. Ekeko reminds late payers, proposes which invoice each payment in your bank's CODA file belongs to and forecasts your cash weeks ahead.

What's all in there?

From the first mail to the bank statement, one system tracks what you are owed and what you owe.

Everything beside the mail

A customer's mail shows their quotes, invoices and open jobs beside it.

Connect a Microsoft 365 or Google mailbox and every mail is filed with its customer, with their open deals, latest quotes and invoices and open jobs beside it. Missing company details can be filled in from the KBO register.

Without it: the quote is in one tool, the invoice in another and the mail in your inbox.

Signed, planned, invoiced

Plan from the signed quote, invoice when the job is done.

When the customer signs, you turn the quote into a work order and plan it on the board. The finished job waits on the ready-to-invoice list, and you turn it into a draft invoice. Booked invoices go out over Peppol through your Billit account.

Without it: the quote is retyped into a job, and the job is retyped into an invoice.

Chasing and matching

Ekeko reminds late payers and matches payments to your invoices.

Set the days after the due date and each reminder goes out from your own mailbox. Upload the CODA file from your bank and Ekeko proposes which invoice each payment belongs to. You confirm the match, and the payment is registered on the invoice.

Without it: you chase late payers from memory and tick off payments against the bank statement by hand.

Read, then checked

The PDF becomes a supplier invoice that you only have to check.

Upload a supplier's PDF and Ekeko fills in the lines and amounts, then proposes the cost account from that supplier's earlier invoices. It compares an invoice with its order and delivery when there are any, and flags one that looks like an invoice you already have.

Without it: supplier invoices are typed in by hand, and an invoice that arrives twice gets paid twice.

Weeks ahead

You see in advance which week your bank balance runs lowest.

The forecast starts from your bank balance, adds open invoices on the day each customer usually pays, and subtracts supplier invoices, VAT and fixed amounts such as rent and wages on their due dates. Ask Ekeko in plain words and it answers from the same figures.

Without it: you find out the account is low on the day a payment is due.
